Almost every NDIS software platform uses one of three pricing approaches. Each has trade-offs, and the “cheapest” option depends entirely on the size and shape of your practice.

1. Per-User Pricing

How it works: You pay a monthly fee for each staff member who uses the software. More staff = higher bill.

Who it suits: Small teams where you want to control costs by limiting who has access.

The catch: Your software bill grows every time you hire. A practice with 10 staff pays significantly more than a practice with 3 — even if they’re managing the same number of participants.

The Hidden Costs

The monthly fee is rarely the full picture. Watch for these:

Setup Fees

Some platforms charge upfront for implementation and configuration. ⚠️Warning CTARS, for example, charges a $2,500 setup fee. Others include setup in the subscription.

Training Costs

Is training included? Some platforms charge for onboarding sessions, especially for larger teams. Ask upfront.

Minimum Commitments

  3. Pick the tier — which plan level includes the features you need?
  4. Add setup fees — amortise over 12 months if it’s a one-off charge
  5. Add usage costs — estimate SMS and call volume
  6. Project 12 months out — will your team or client list grow? What will you pay then?
